How AI Future Lab handles your personal information.

1. Who we are
AI Future Lab ("we", "us", "our") is an AI education programme operated from Perth, Western Australia. The site at aifuturelab.com.au and the programmes referenced on it are run under Howll AI. This Privacy Policy applies to information we collect through this website and through our enrolment and enquiry processes.
We comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). If anything in this policy is unclear or you'd like more detail, email us at hello@howll.ai and we'll respond within 5 business days.
2. Information we collect
We only collect what we need to run the programmes and respond to enquiries. Specifically:
When you enquire or enrol
- Your name and the name of the participant (if different — e.g. parent enrolling a teen)
- Email address and, where you provide it, phone number
- For school enquiries: school name, role, year levels, cohort size, format preference
- For parent enrolments: child's age, year level, any access or learning needs you choose to disclose
- For Work Lab enrolments: organisation, role, format preference
- The free-text content of any message you send us
When you visit the website
- Standard server logs from our hosting provider (Vercel) — IP address, browser type, pages visited, referrer, timestamp. Used for security, performance, and basic traffic analytics. Retained for a maximum of 90 days.
- We do not currently use third-party analytics tools (e.g. Google Analytics) on this site. If we add any in future, we will update this policy and disclose them.
When you book a call
- Information you provide via Calendly when scheduling a discovery call (name, email, optional notes). This is processed by Calendly under their privacy policy.
3. How we use it
We use your information to:
- Respond to your enquiry or process your enrolment
- Send you information directly relevant to the programme you enrolled in (session times, parent recaps, showcase invites, materials)
- Schedule and prepare for booked calls
- Operate and secure the website
- Comply with legal obligations (e.g. WWCC verification, insurance, child-safe reporting where required)
We do not send marketing emails, run drip sequences, or sell your information. If you've enquired and don't enrol, we'll close the loop politely and you won't hear from us again unless you contact us first.
4. Who we share it with
We share your information only with the third parties needed to run the service:
- Email service providers — to send and receive emails (e.g. Google Workspace).
- Calendly — for scheduling discovery calls. Their privacy policy is at calendly.com/privacy.
- Vercel — our website host. Their privacy policy is at vercel.com/legal/privacy-policy.
- Schools you've nominated — when delivering an in-school programme, we share session-relevant information with the school's nominated contact.
- Government and law enforcement — only where required by law, court order, or to protect a child's safety.
We do not sell or rent your personal information to any third party.
5. Children & minors
The After-School programme involves participants aged 12 and over. We take child safety seriously:
- Enrolment is always made by a parent or legal guardian, never directly by a minor.
- All facilitators hold a current Working with Children Check (WWCC) and have signed our child-safe policy.
- We use AI tools responsibly in any minor-facing session — students are supervised throughout, prompts are reviewed live, and we work openly so nothing happens off-screen. Where a tool offers content filters or non-training settings, we turn them on.
- We collect the minimum information needed about a minor — typically name, age, year level, and any access or learning needs the parent chooses to share.
- Photos or video of minors are only taken with explicit parent consent, and are never used in marketing without separate written permission.
- Parents may request access to or deletion of their child's information at any time by emailing hello@howll.ai.
6. Cookies & tracking
This site uses minimal cookies, limited to functional use (e.g. preserving session state on third-party services like Calendly). We do not use advertising cookies, retargeting pixels, or third-party tracking. If we add any in future, we will update this policy and seek consent where required.
7. Storage & security
Personal information is stored in services hosted in Australia or the United States (e.g. Google Workspace, Vercel, Calendly). Where information is held overseas, the third party is bound by contractual or legal obligations equivalent to or stronger than the APPs.
We use reasonable technical and organisational measures to protect personal information from unauthorised access, loss, or misuse: access controls, encrypted transit (HTTPS), and limiting access to only those who need it. No system is perfectly secure; if you believe your information may have been compromised, please contact us immediately.
8. Your rights
Under the Australian Privacy Principles you have the right to:
- Ask what personal information we hold about you (APP 12)
- Ask us to correct it if it's wrong (APP 13)
- Ask us to delete it, subject to any legal retention requirements
- Withdraw consent for any optional use (e.g. photo permission)

9. Complaints
If you believe we've mishandled your personal information, please contact us first at hello@howll.ai so we can try to resolve it directly. If you're not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC):
10. Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top of the page reflects the most recent change. Material changes will be flagged on the homepage for at least 30 days.
